This is a manual preparted by manufacturer listing processes and requirements to process claims. NWLLC makes sure all claims are processed according to processes listed in the manual If you ever have a question about claims processes refer to you specific policy and procedures guide.
Some goodwill claims require the customer to participate financially in a repair. Chrysler for example will not provide any parts coverage without customer partipicpation. NWLLC bases charge for a claim prior to customer participation.
NWLLC does use a contract. It is necessary to outline what is expected of both parties, your dealership and NWLLC. It also lays out charges and billing times. We feel communicateion is a necessity and with the contract there will be no confusion. We use an open ended contract we only require a 30 day written notice to quit Failure to give notice will result in a charge of unpaid NWLLC invoices and a termination fee.
Transporation claims are for repairs to new vehicles that incurred damage while being delivered to you dealership These claims are not warranty they are reimbursement from the car carrier.
Certain repairs, such as glass, paint and soft trim repairs may requires Prior Authorzations. Thses can also apply to goodwill repairs with higher mileage. Refer to policy and procedures manual for specific requirements

Warranty Wizard is a program from Hayes Ligon that contains labor operations, times and Failure Codes needed to process claims. Not manufacturers use Warranty Wizard
Some manufacturere only allow a certain number of lines per WC. In these cases it may be necessary to enter a continutation claim which relates previous repair to a single service visit.
Parts claims are claims for items purchased that fail within a certain time. They can be for parts purchased over the counter or installed at the dealership. Most manufacturers will only replace part on over the counter purchases but will pay parts and labor for parts installed by the dealership. Refer to policy and procedure guide for specific guidelines for your dealership
Deductibles are chaged on some powertrain repairs and extended service plans. They a requirement of the coverage on these claim types.
A VIN inquiry, called by various names by each manufacturer, lists the in service date, warranty coverages, factory extended service contracts and recalls. It also lists any additional warranty extensions and history.
The set up fee is a one time no refundable fee charged at contract signing. This fee is used to cover administrative costs associated with set p of your dealership in our electronic tracking sheets and accounting.
Goodwill claims are policy adjustments that are performed on a vehicle that is out of warranty. Some manufacturers allow self authorizations or you may need an authorization from District Parts and Service Manager. These repairs are not warranty and may require some customer participation. It would be better to charge a customer a deductible so they do no think it is warranty

When a claim has been processed and changes or additional items are added you can append the claim to add items
Loaner cars may be reimbursable on warranty claims if vehicle is undriveable or continued use would cause further damage to vehicle. Refer to manufacturer policy and procedures for details. In most cases the vehicle must be down for repair overnight.

Recall claims are repairs that have been mandated by the government These are modifications to vehicle that are performed at no charge.

Debits are adjustments made by manufacturer They are charge backs, this can be due to improper repairs, overlapping repairs or parts not returned. Debits can also be requested by dealership if the claims system does not allow claims to be appendedĀ
Extended Service Claims. NWLLC processes factory extended service claims. Aftermarket claims must be processed by dealerhsip. Most aftermakert service contract providers require phone calls for authorization during repair and pay with a credit card so they are not procesed by NWLLC.
Chrysler Service Contracts. These are factory extened service claims provided by Chrysler. NWLLC processes these claims through Dealer Connect in the same manner as WC.
Subaru Added Security. These are extended service plans provided by Subaru and are processed through Subaru claims system
DTC's are diagnostic trouble codes. They are required on some claims. These codes may be from emissions tested, ABS systems and automatic climate control systems and may be requried to process claims.
Vehicle Identification Number is a unique 17 digit alpa numeric number assiged to each vehicle. The first three digits identify manufacturer and contry of origin. The next 2 digits identify model of vehicle.The sixth digit is the engine and 8th digit is the model year of the vehicle. The remaining 6 digits are the unique serial number for the vehlcle. A VIN is required to process claims.
In service date. This is the date that vehicle was first put in use either as a demonstrator or sold to first owner. Warranty coverages start on the ISD. For example if vehicle has 3 year 36000 mile coverage it is valid 3 years from ISD or 36000 miles which ever comes first. This information should be listed on RO although it is not required
